Refund and Cancellation Policy
Non-Refundable Booking Amount
The booking amount is strictly non-refundable. Refunds for cancellations will be processed based on the following guidelines:
Cancellation Guidelines
1. Short Duration/Weekend Trips (Less Than 3 Days):
- Cancellations up to 60 days before departure: 100% refund (no deduction).
- Cancellations between 59 to 45 days before departure: 50% refund of the total amount.
- Cancellations between 45 to 25 days before departure: 30% refund of the total amount.
- Cancellations between 24 to 7 days before departure: 20% refund of the total amount.
- Cancellations less than 7 days before departure: No refund.
2. Long Duration Trips (More Than 3 Days):
- Cancellations up to 75 days before departure: 100% refund (no deduction).
- Cancellations between 75 to 45 days before departure: 50% refund of the total amount.
- Cancellations between 45 to 15 days before departure: 25% refund of the total amount.
- Cancellations less than 15 days before departure: No refund.
3. International Trips (More Than 3 Days):
- Cancellations up to 75 days before departure: 100% refund (no deduction).
- Cancellations between 75 to 45 days before departure: 50% refund of the total amount.
- Cancellations between 45 to 30 days before departure: 25% refund of the total amount.
- Cancellations less than 30 days before departure: No refund.
Process for Cancellation or Changes
- All cancellation or change requests must be sent via email to
- Requests made through phone calls or WhatsApp will not be accepted.
- For faster processing, please reply directly to the booking confirmation email you received at the time of booking.
Participant Replacement
- If you are unable to attend, you may transfer your booking to another participant at least 7 days prior to departure.
- This is applicable only for bookings marked as “Paid.”
- Note: Transport bookings (e.g., Volvo, train, flight) are non-transferable and will be automatically canceled in such cases.
Mode of Refund
- Once your cancellation is confirmed, we will initiate the Refund within 2 working days.
Payment Gateway Charges
- A 2.5% payment gateway fee and 5% GST will be deducted from all refunds, except for payments made through UPI (which are exempt from gateway charges).
Cancellation by Hangout Holidays
- Hangout Holidays reserves the right to cancel or modify trips due to unforeseen circumstances (e.g., weather, government orders, or natural calamities).
- In case of cancellation, participants will receive either an alternate trip option or a travel voucher (Credit Shell) valid for up to 1 year.
- No cash refunds will be provided.
Force Majeure Events
- In cases of natural calamities, war, or government orders, no refunds will be made for uncompleted trips or additional expenses incurred.
Unused Services
- No refunds or discounts will be provided for unused services, including voluntary or involuntary early departures from the trip.
Drop-Out During the Trip
- Participants who leave the trip early will not be eligible for refunds.
- Additional expenses incurred due to early departure must be borne by the participant.
Code of Conduct
- Hangout Holidays reserves the right to deny service to individuals who fail to adhere to community ethics or engage in abusive or defamatory behavior.
- We encourage polite communication to ensure prompt and effective assistance.
